When you book a table, pay a deposit or send us a message, you trust us with some of your details. This page explains what we collect, why, who helps us look after it, and the choices you have. We keep it as short and plain as we can.
The short version
- We only collect what we need to look after your booking and your visit.
- We never sell your details.
- We only send you offers and news if you’ve said yes, and you can stop them at any time.
- You can ask to see, correct or delete your details by emailing info@casaroni.co.uk.
Who we are
Casa Roni is an independent Mediterranean restaurant at 20-24 Newtown Gardens, Kirkby, Liverpool, L32 8RR. In this policy, “we”, “us” and “our” mean Casa Roni. We are responsible for your personal data (the “controller” under UK data protection law). You can reach us at info@casaroni.co.uk or on 0151 319 9378.
What we collect and why
When you book a table
We take your name, phone number, email address, the date and time of your booking, how many people are coming and any notes you add, such as a birthday or a high chair. We use these to hold your table and to contact you about your booking. Online bookings are handled for us by our booking system, Favourite Table. We need these details to take your booking.
Allergies, dietary and access needs
If you tell us about an allergy, a dietary need or something that helps you visit comfortably, we use it only to look after you on your visit. Because this can be health information, we only record it with your agreement, and you can ask us to remove it at any time.
Deposits, pre-orders and payments
For group bookings, we send you a payment link for your deposit. Payments, by link or by card in the restaurant, are processed by our payment provider, Teya. We never see or keep your full card number. We keep a record of what was paid and when, because tax law requires it. For larger groups, we also keep your pre-order choices so the kitchen can prepare your meal.
When you contact us
If you email, call or message us on social media, we use what you send us to reply and to help with your question. Messages sent through Instagram, Facebook or TikTok are also covered by those platforms’ own privacy policies.
Offers and news
If you’ve opted in, for example by ticking the box when you book, we may send you emails or texts about offers, events and news. We only do this with your consent. You can stop them at any time with the unsubscribe link, by replying STOP to a text, or by telling us.
Our website and cookies
Our website uses Google Analytics. It sets small files called cookies that tell us how many people visit, which pages they look at and what kind of device they use. This helps us improve the site. We don’t use it to advertise to you, and the reports we see don’t identify you. These cookies are only set if you choose Accept in the cookie banner, and you can change your mind at any time with “Cookie settings” at the bottom of every page. Our Cookie Policy lists the cookies we use. When you open our booking widget, Favourite Table may set its own cookies so the booking works. Like most websites, our host keeps basic technical logs, such as IP addresses, to keep the site secure.
Who we share it with
We only share your details with companies that help us run the restaurant, and only what they need to do their job:
- Favourite Table: our table booking system
- Teya: deposit payment links and card payments
- Google: website analytics
- Our website host, email provider and IT support
- Our accountant, for payment and tax records
We may also share information with the police, HMRC or other authorities when the law requires it. We never sell your details or give them to anyone for their own marketing.
Some of these companies, such as Google, may store data outside the UK. When they do, they use the safeguards UK law requires, such as approved contract terms, to keep it protected.
The legal reasons we rely on
UK data protection law asks us to say why we’re allowed to use your details:
- To provide what you’ve asked for: taking and managing your booking, deposit and pre-order
- Your consent: offers and news, website analytics cookies, and any allergy or health details you share
- Legal obligations: keeping payment and tax records
- Our legitimate interests: replying to messages and keeping our website secure. We always weigh these against your rights.
How long we keep it
- Bookings and pre-orders: up to 2 years after your visit
- Payment records: as long as tax law requires, usually 6 years
- Emails and messages: up to 2 years after we last hear from you
- Offers and news: until you unsubscribe
- Website analytics: deleted automatically by Google after a set period
Keeping it safe
Only the members of our team who need your details can see them. We use trusted providers, protect our accounts with strong passwords and keep paper notes out of sight. If something ever went wrong and your information was at risk, we would tell you and the Information Commissioner’s Office (ICO) when the law requires it.
Your rights
You can ask us to:
- give you a copy of the details we hold about you
- correct anything that’s wrong or out of date
- delete your details, or stop or limit how we use them
- send your details to you or to another company in a common format
- stop sending you offers and news, at any time
Where we rely on your consent, you can withdraw it at any time. To use any of these rights, email info@casaroni.co.uk. It’s free, and we’ll reply within one month. We may need to check who you are first. Sometimes the law means we have to keep certain details, such as payment records; if so, we’ll explain why.
If you’re unhappy with how we’ve handled your details, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Children
Families are very welcome at Casa Roni, but bookings should be made by an adult. We don’t knowingly collect details from children through our website.
Changes to this policy
We’ll update this page if the way we use your details changes. The date at the top shows when it was last updated. Our Terms & Conditions explain how bookings and visits work.
